Overview

IE University is a top international university with campuses in Madrid and Segovia in Spain and has taken a leading position in Europe among institutions of higher education for its excellence in innovation and learning technologies. We have schools of Business, Science & Technology, Law, Global and Public Affairs, and Architecture and Design.

We are currenting looking for an Office Manager to join our Greater China team. We are dynamic, we are passionate about positive customer journeys, and we are looking for someone to play an integral part in ensuring the office’s operations run smoothly.

This is a full-time position that will be based in our Shanghai, China office.

Responsibilities

Duties and Responsibilities

  • Follow office workflow procedures to ensure maximum efficiency.
  • Maintain files, records, keep track of office expenses and office inventory with effective filing systems.
  • Undertake responsibility for logistics required for both physical and virtual events.
  • Support team members with travel bookings, scheduling of meetings, event space bookings etc.
  • Support team members to manage the pipeline of applications and nurture the leads.
  • Support candidates throughout their application process from enquiry through to full submission of their application.
  • Monitor office expenditures and handle all office contracts that relate to events and travel.
  • Monitor office supplies inventory and place orders.
  • Maintain contact list and directory of clients.
  • Assist in vendor relationship management.
  • Support physical or virtual commercial activities in the Greater China region.

Qualifications

Requirements and Qualifications:

  • Bachelors’ degree or equivalent, preferably with experience in sales/ event planning/ education.
  • Excellent verbal and written communication skills.
  • Thrives in multicultural teams and is comfortable working with people across different time zones.
  • Proficient knowledge of MS Office; knowledge of Hubspot, Expensify and basic accounting is a plus.

  • Organized, meticulous and has strong prioritization skills.
  • Effective in handling customers, vendors and managing the logistics for both physical and virtual events.
  • Self-motivated, self-reliant, and flexible in picking up knowledge on the go.
  • Comfortable with people and capable of carrying out administrative tasks with accuracy and speed.
  • Reliable, responsive, present, and able to work flexible hours.
  • Willing to travel occasionally to support commercial activities across the Greater China region.
